The Big Chill 2009 – Trader’s Application

e5sl-grand-bouffeApplications for stalls at The Big Chill 2009 close Friday 20th March. We will still accept applications after this date, but you will only be contacted should we choose to use your stall due to cancellations.

Thank you for your interest in applying to trade at The Big Chill @ Eastnor Castle 2009. The markets are very important to this event, and play a major part in people’s enjoyment of the festival. We are looking for original stalls which reflect the quality of the event, sell unique and original products, look fantastic and strictly comply with all current UK health and safety and hygiene regulations. Priority will also be given to stalls selling a majority of fair trade and organic produce.

On submitting your application an email will be sent by Monday 20th April stating whether your application has been successful or not. If successful an invoice will be attached to the acceptance email and a deposit of £500 (£100 for non-food) will need to be credited into our bank account by Monday 27th April to secure your place. If the deposit is not in our account by this date your pitch will automatically be allocated to another trader. The balance, £500 litter bond and paperwork outlined below are due by Friday 29th May 2009. If the balance is not paid by this date your pitch and deposit will automatically be forfeited. All BACs payments should include a remittance advice to stalls@bigchill.net, otherwise it might not be allocated to your account.

This year’s festival will run from Thursday 6th to Sunday 9th August 2009. You have to be on site and set up by 12pm (midday) on Wednesday 5th August 2009. You may leave the site from 4am on Monday 10th August 2009 and all stalls must have left site by end of day on Tuesday 11th August 2009.

The following is the paperwork that must be received by Friday 29th May if your application is successful. If we are not in possession of the all the correct and valid certificates before the festival you will not be allowed to trade and will forfeit your fee:

A copy of your Public Liability insurance certificate with cover for no less than £2,000,000 or an amount that you feel is commensurate with the risk.

PAT certification for all electrical appliances used on your stall. This includes anything with a plug, such as lighting, etc. It is a legal requirement under the Health & Safety at Work Act 1974 that all electrical appliances used in the workplace are inspected and checked. PAT testing must have been carried out within a year of August 5th 2009. More information on PAT testing is available here.

Corgi certification for all gas appliances used on your stall. (It is a legal requirement under The Gas Safety (Installation and Use) Regulations 1998 that all work carried out on gas appliances and fittings is undertaken by a competent person). A copy of your food hygiene certificates (food stalls only).

All food stalls are also required to fill in and submit this Food Safety Checklist & Risk Assessment.

All stall-holders are required to read the Terms and Conditions agreement thoroughly.

You must provide details of the Local Authority you are registered with. All food stalls should be registered with the Local Authority in which the business is based, even if you have never traded in this area. Contact your Local Authority for further information (food stalls only).

Please could you send (or upload) photos of your stall/stock to give us a clear idea of what your stall is like to stalls@bigchill.net. Please only email if it is low res (up to 500kb) any files larger than this please use www.yousendit.com.

If you don’t receive a confirmation email within a week of submitting your application please contact me at stalls@bigchill.net.
